Bank Statement Apostille Procedure

You can’t get a bank statement apostilled immediately by the Ministry of External Affairs. A few steps must be undertaken first so that each authority can be sure the document is genuine.
Step1: Chamber of Commerce / Notary is needed.
A notary public will check your bank statement and then certify the document by notarizing it. This is the first legal authentication provided to the document before it goes for government verification. Let’s say your bank statement is sourced from HDFC, SBI, ICICI, or any other scheduled bank. In that case, the notary signs off the bank statement before it moves to the next step.
This step is done by either the Home Department of your state (eg: Tamil Nadu Home Department if you stay in Chennai or Maharashtra Home Department if you stay in Mumbai) or a Sub-Divisional Magistrate (SDM) in your area. Just to clarify, the role of this authority is not to concern themselves with your bank transactions or the balance of your bank account. The authority will check the notarized document’s signature and also check whether your bank statement is actually real.
The MEA will check your bank statement one last time and complete the process of apostille. They will issue a sticker to your bank statement. The sticker will have a number/unique ID which can be verified by the officials of the countries that are part of the Hague Convention. After this, your bank statement is considered legally valid for all official uses abroad in the countries that accept apostilles.

1. I have e-statements (PDFs). Can I just print them out and mail them for state-level verification?

No. An apostille authenticates a public official's signature, not your financial data. A raw PDF printed from your home computer has no "wet-ink" signature from a recognized official, so the state office will immediately reject it.

No, it’s not always needed. This is because many banks do not give signed affidavits for individual customers. However, some countries can have different requirements and may ask for this. So, it's always best to check the document guidelines or contact the concerned authority or the bank.

Not at all. Bank Statements are treated as a single document regardless of the number of pages. Just print the Bank Statement in its entirety and keep all pages bound together. The notary will certify the assemblage of pages and a single True Copy Affidavit will be attached to the document. A single apostille will be issued for the entire bank statement document, and you do not need to get apostille for each page.
The answer totally depends and is different from use case to use case. If the bank can provide an officially certified statement or verification letter, then all good. Note that some digital banks do not offer this service and it can cause issues and make apostille or legalization difficult for international use.
You can hide the details only if the receiving authority allows it, but it’s not recommended as visa officials may cause trouble here. This is because an apostille means that the document is whole and if you hide or remove details, it will contradict the whole meaning of an apostille.
An apostille does not mean the document is accepted; an apostille is a method to confirm that the document is original. Rejection is common if the statement was too old, did not have the required pages, was not certified by the issuing bank, or did not fulfil the formatting requirements of the authority making the request.
